The Kavaya Agent Portal is a professional B2B platform for travel agents, tour operators, wholesalers, and selected industry partners. It allows agents to browse products, review reference tariffs, create itinerary inquiries, submit tailor-made requests, and track inquiries and bookings in one place.

The portal is designed for approved professional travel agents, tour operators, wholesalers, and selected industry partners. It is not intended for direct consumer bookings.

No. The portal is an enquiry and quotation platform. It does not provide instant confirmation, live availability, or automatic booking confirmation. Every request is reviewed by the Kavaya reservations team.

No. The Kavaya Agent Portal is designed exclusively for professional travel agents, tour operators, and industry partners.

The portal currently focuses on Asia, including Southeast Asia, Japan, South Korea, and selected additional destinations. More countries, products, hotels, excursions, transfers, and tours will be added continuously.

You can still submit a tailor-made request or contact our team directly. Not every product, supplier, hotel, or destination is visible in the portal yet.

The portal uses different templates depending on the product type. Hotels, transfers, excursions, tours, packages, and join-in tours may display different information.

Yes. Although the portal is designed to streamline communication and make inquiry handling more efficient, you can still contact our team directly by email or personal communication for inquiries, quotations, amendments, and bookings.

You can submit inquiries through tariff products, the Itinerary Builder, the Tailor-Made Request form, or the AI Itinerary Generator. Each option is designed for a different type of request.

Tariff Products are existing services such as hotels, transfers, excursions, short escapes, private tours, or join-in tours. You can select and combine them into an itinerary inquiry.

The Itinerary Builder allows agents to combine available portal products into one structured itinerary inquiry. It is useful when you already know which products, hotels, transfers, tours, or excursions you would like to request.

A Tailor-Made Request is used for customized travel programs that are not fully covered by existing products in the portal. You can describe the request freely and upload documents if needed.

Tariff Products are predefined services already available in the portal. Tailor-Made Requests are for fully customized programs, special routing, multi-destination requests, or services that are not yet listed in the portal.

Yes. Depending on the inquiry type, you can upload Word documents, PDFs, draft itineraries, client briefs, or additional travel information.

Yes. Multi-country and complex itineraries can be submitted as tailor-made requests or through the AI Generator where suitable.

Yes. The portal is designed to improve and centralize communication, but it does not replace personal service. You may still contact our sales and reservations teams directly.

Yes, but the more complete your request is, the faster and more accurate our reply can be. Missing details may delay quotation or require assumptions.

The AI Itinerary Generator helps agents create draft itinerary ideas based on destination, duration, travel style, client interests, and special requirements. It is designed to speed up the early planning and quotation process.

No. AI-generated itineraries are draft concepts only. They are not confirmed, not priced, and not automatically bookable.

No. The AI does not check live hotel availability, supplier availability, flight schedules, guide availability, or real-time operational restrictions.

No. The AI can support itinerary structure and planning, but final prices are always prepared or checked by the Kavaya team.

Yes. AI may occasionally suggest routes, timings, hotel combinations, or services that require adjustment. All AI-generated content must be reviewed before confirmation.

Yes. You can adjust the draft, add more details, remove parts, or use it as a starting point before submitting the request.

Detailed itineraries are usually prepared after our team has reviewed your request, checked the routing, product suitability, and operational feasibility. For simple requests, this may be possible together with the quotation. For more complex tailor-made or multi-country programs, a detailed itinerary may follow after the initial review or quotation stage.

No. AI-generated itineraries are draft planning suggestions only. They help structure the idea, but the final detailed itinerary must be reviewed, corrected, and confirmed by the Kavaya team.

No. All distances and travel times shown in itineraries, AI drafts, product pages, or proposals are indicative only. They are approximate guidelines and may vary depending on traffic, weather, road conditions, local regulations, border crossings, rest stops, ferry schedules, hotel location, sightseeing duration, and operational circumstances.

Indicative travel time means an estimated journey duration based on normal conditions. It is not a guaranteed driving time. Actual travel time may be shorter or longer depending on the day, season, route, traffic, weather, and local conditions.

Travel times may change because of hotel selection, final routing, traffic conditions, roadworks, local events, ferry schedules, domestic flight timings, guide recommendations, or operational adjustments made to improve the flow of the itinerary.

No. Maps, routing information, and distance indications are provided for general orientation only. Final routing may be adjusted by our operations team, guides, drivers, or suppliers according to local conditions.

Not always. The sightseeing order may be adjusted due to opening hours, weather, traffic, local holidays, flight times, hotel location, guide availability, or operational reasons. The included services remain subject to confirmation.

Yes. Draft itineraries, AI-generated programs, and initial proposals may be adjusted during the quotation and confirmation process. Changes may be required due to availability, routing, timing, supplier conditions, or better local recommendations.

Yes. For tailor-made tours, private tours, and multi-day programs, Kavaya can provide day-by-day itinerary descriptions once the program has been reviewed and prepared by our team.

Where possible, we can provide professional itinerary descriptions suitable for agent use. Depending on the request and market, agents may further adapt the wording for their own branding and client communication.

Yes. If you require more detail, such as daily timing, hotel notes, route descriptions, meal inclusions, excursion details, or special client wording, please inform our team when submitting the inquiry.

Hotel names are only confirmed once availability has been checked and the booking has been confirmed. Before confirmation, hotels may be shown as examples, preferred options, or indicative categories.

If a preferred hotel is not available, Kavaya will suggest a suitable alternative of similar category, style, and location where possible. The final choice will be communicated before confirmation.

Restaurant names may be confirmed where included as part of the program. However, restaurants can change due to availability, group size, day of operation, special events, or local conditions.
